Shared dashboards

Give someone a read-only link to the dashboard of one site, choose what it shows and when it ends, and take it back at any time.

This page shows how to share the dashboard of a site with someone who has no account, such as a client or a colleague, and how to control what they see and for how long.

What a shared dashboard is #

A shared dashboard is a public link to one site. Anyone who has the link can open it in a browser, without signing in. It shows that one site and nothing can be changed through it.

There is no password. The long random part of the address is the only secret, so treat the link like a key: whoever has it can look. Each site has at most one link at a time.

Owners and Admins of the workspace manage the link. A Viewer cannot create or change one.

  1. Open the site and go to Settings, Sharing.
  2. In the "Public dashboard link" card, choose what the link shows, when it expires and whether revenue is included. The options are explained below.
  3. Click Enable link.

The address appears at the top of the card with a copy button. Clear Saga makes the address for you, so copy it from there. "Open the shared dashboard" next to it opens the link the way your visitor will see it.

The options #

Option Choices What it does
What the link shows Overview only, Overview and realtime, or Realtime only Decides which screens a visitor gets. Realtime is the live view of who is on the site right now.
Link expiry Never, or after 7, 30 or 90 days Counted from the moment you save. After that the link stops working by itself.
Include revenue On or off Off, the revenue tiles, the revenue line on the chart and the revenue amounts in the lists are left out.

To change an option later, change it and click Save. The address stays the same, so nobody needs a new link.

The card shows when the link expires. An expired link is marked "Expired" there. Saving it again starts a new period and makes the same address work again.

What a visitor can see and do #

A visitor of the link sees the screens you chose, with the same numbers you see: the tiles, the main chart, the breakdown cards and the chart notes on the Overview, and the live tiles, map and lists on Realtime. They do not get the live visitor card: on a shared link no dot and no row can be opened, and no visitor has a name. The Visitors pages of returning visitors are never part of a link.

They can change three things, and each only changes what is shown to them:

Everything else is out of reach through the link:

  • Settings of any kind, and the export of data.
  • The other screens of the site: Events and its activity log, Funnels, Campaigns, Performance and Revenue.
  • Your other sites, the name of your workspace and the people in it.
  • Saved segments. A shared dashboard has no Segments menu.
  • Writing or editing chart notes.

When revenue is not included, the link reveals nothing about orders at all, not even the currency.

If a visitor opens an address for a screen the link does not cover, they get a short message that the page is not part of the shared dashboard.

Regenerate or revoke #

Both buttons are in the same card, and both ask you to confirm.

  • Regenerate makes a new address. The old one stops working at once, and anyone watching Realtime through it is disconnected. What the link shows, its expiry date and the revenue setting stay as saved. Use this when the link reached someone who should not have it. Everyone you shared it with needs the new address.
  • Revoke switches the link off. The address stops working at once and public access to the site is over. You can enable a link again later, and it will have a new address.

So access ends in one of three ways: the link expires, you regenerate it, or you revoke it.

A link that no longer works does not say why. A visitor sees "This link is not available" whether it expired, was replaced, was switched off or was mistyped. To them it looks like a link that never existed.

When the workspace is locked #

Share links close while the dashboards of the workspace are locked, for example after a trial ended without a plan. Visitors get the same "not available" message. The link itself is not deleted: it works again, with the same address, as soon as the lock lifts. Plans, usage and limits explains when a workspace is locked.

Kept out of search engines and frames #

Two protections are always on and need no setting.

  • Search engines. Every shared page tells search engines not to list it and not to follow its links. A shared page also does not pass its own address on to the sites it links to.
  • Frames. A shared dashboard cannot be shown inside a frame on another website, so nobody can wrap it in a page of their own and draw over it.

To show numbers inside a page of your own site, use an embed widget. Widgets are made for that, and they have a token of their own: the dashboard link cannot open a widget, and a widget cannot open the dashboard.

What is not here #

Public profile pages are not available. A shared dashboard is the way to show a site to someone without an account. See what works today.

To give a person lasting access with an account of their own instead, invite them as a Viewer. See team and roles.
