# Team and roles

> Give other people access to a workspace or to one site, see what each role can do, and change or end that access later.

This page shows how to let other people into Clear Saga: an admin for the whole workspace, or a viewer for one site. It also lists what each role can do and how to change a role, remove someone or leave.

## Workspaces and sites

A workspace is the account of a team or a business. It holds your sites, your plan and your members. When you sign up you get a workspace of your own, and you are its owner.

One person can belong to several workspaces: their own, and any they were invited to. The workspace menu in the sidebar moves between them. A role holds inside one workspace and says nothing about another.

## The roles

A member has one of these roles.

- **Owner.** The person the workspace belongs to. Every workspace has exactly one. The owner cannot be removed, given another role or leave.
- **Admin.** Sees every site of the workspace and can change site and workspace settings. An admin cannot manage members or the plan.
- **Viewer.** Reads the dashboards of the sites they were given and changes nothing.

This table is produced from the same rules the product checks on every request:

## Invite an admin

Only the owner can invite an admin.

1. Open Settings, Members.
2. Under "Invite an admin", enter the email address of the person and send the invitation.
3. The invitation appears under "Pending invitations".

Someone who is already a member, a viewer included, is refused: change their role in the list of members instead.

## Invite a viewer to one site

The owner and admins can invite viewers.

1. Open the site, then Settings, Team.
2. Under "Invite a viewer", enter the email address and choose "Send invite".
3. The invitation appears under "Pending invitations" on the same tab.

One invitation covers one site. To let the same person read a second site, invite them from that site as well. Someone who already has access to the site is refused.

## How the invitation reaches the person

> [!IMPORTANT]
> Invitation emails are not sent yet. The message is written and stored, and it never reaches an inbox. See [what works today](/docs/status).

Until email delivery is connected, the link has to be passed on by hand:

1. The owner opens Settings, Members.
2. In "Pending invitations", open the menu of the invitation and choose "Copy link". The list holds admin invitations and viewer invitations alike.
3. Send the link to the person yourself.

Only the owner sees this list. An admin who invites a viewer from a site's Team tab can send the invitation again or revoke it there, but cannot copy its link, so the owner has to copy it for them.

The person opens the link, then signs in or creates an account with the address the invitation was made for. The link works for that one address only.

A few facts about invitations:

- An invitation is valid for 7 days and can be accepted once.
- "Send again" or "Resend" keeps the same link and gives it another 7 days. One invitation can be sent again 3 times a day.
- "Revoke" stops the link at once.
- A workspace can create 20 invitations an hour.
- Inviting the same address to the same thing again replaces the earlier invitation, and the old link stops working.
- An invitation link lets its person create an account even when sign-ups are closed.

## Change a role

Only the owner changes roles, in Settings, Members, from the menu of a member.

- **Make an admin a viewer.** You choose the sites they may open, at least one. Only when the workspace has no sites yet are they made a viewer without one, and they stay listed as a member until someone invites them to a site from its Team tab. The tokens they created stop working.
- **Make a viewer an admin.** They see every site of the workspace from then on.

Either change cancels the pending invitations to that person's address, so an older invitation cannot undo what you decided.

## Remove someone

- **From one site.** The owner or an admin opens the site's Settings, Team and chooses "Remove from this site" for the viewer. They lose the site with their next request. If it was their only site in the workspace, they stop being a member of it.
- **From the workspace.** The owner opens Settings, Members and removes the member. They lose every site at once, the tokens they created stop working, and pending invitations to their address are cancelled. Their own account and their own workspace are not touched.

## Leave

- A viewer can leave one site from that site's Settings, Team. With their last site they leave the workspace too.
- An admin or a viewer can leave the whole workspace from Settings, Members, under "Leave workspace". The tokens they created there stop working. To come back, they have to be invited again.
- The owner cannot leave, and deletes the workspace instead. See [your account and signing in](/docs/account).

## What the Activity list records

Settings, Agent access has an Activity list. It records changes made with a token, such as a funnel an AI agent created. It does not record what members do in the dashboard, and it does not record reading. The owner sees the changes of every token, an admin those of their own. Entries are kept for 180 days. See [connect an AI agent](/docs/agents).
